Is the Rotary District 9685 Conference venue accessible?
The Conference venue is accessible. If you have specific accessibility requirements, please contact us in advance so we can assist.
Admission
Admission to the Conference sessions is via your Conference lanyard.
For optional ticketed events, the event host will have a list of registrants. Please provide your name upon entry. If you have registered by the start of the ticketed event, we encourage you to wear your Conference lanyard for easier identification and networking.
What should I wear to the Rotary Conference in Mudgee?
For conference attire, we recommend smart casual with comfortable shoes (no thongs). The Saturday Dinner has a Country Bush theme; therefore, it is recommended that you dress in theme or in cocktail style (semi-formal). For details on social events and experiences, please visit the website or the booking site. Please wear closed-toe shoes for the Golf.
You are not required to wear your Rotary pins, name badges, or Rotary-branded attire to any events; however, you are most welcome to do so, and we will assist with promoting brand awareness. Note: that your Conference Lanyard will mention both your name and Rotary/Rotaract Club (if applicable).
Booking Closure Date
The last day to register for the Conference and optional ticketed events is Friday, 26 February 2027, which is two weeks before the Conference. Because venues need final numbers for staffing and ordering, we generally cannot accommodate last-minute registration requests.
What are the cancellation conditions for the 2027 Rotary District Conference?
In the event of cancellation, and subject to notice of cancellation being received in writing, prior to the relevant dates:
1. A full refund of the registration fee will be granted up to 31 December 2026.
2. $30 per person cancellation fee will apply for cancellations from 1 January 2027 up to 15 February 2027.
3. $50 per person cancellation fee will apply for cancellations from 16 February 2027 up to 5 March 2027.
4. Applications for cancellation received on or after 5 March 2027 will not be refunded.
Is accommodation included?
Conference registration does not include accommodation. Accommodation options are available on our accommodation page
What are the parking arrangements?
Complimentary parking is available for guests staying at Parklands Resort, Mudgee.
Conference Photos
By registering for the 2027 Rotary District 9685 Conference, delegates consent to being photographed or filmed and acknowledge that these images may be used for promotional purposes by Rotary District 9685.
Delegates are also welcome to take their own photos and share their conference experience. We ask that, as a courtesy to our presenters, entertainers and fellow delegates, you use your flash with caution and avoid taking photos at inopportune times.
Dietary Requirements
All venues can cater for dietary requirements. If you have a dietary requirement, please note it when booking your tickets. If you have dietary changes after booking, please contact Pamela Noal.

Late Registration for Optional Ticketed Events
Due to venue catering and staffing arrangements, we generally cannot accommodate requests to register for optional ticketed events once those events' bookings have closed. Noting also that limited tickets are available for each of those events, we encourage registrants to book ahead for events of interest so as not to miss out.
Non-Conference Material
No literature is to be distributed, no goods offered for sale, or fundraising by any means may occur at the Mudgee Conference without prior approval from the Conference Chair.
Session Times
For session times, please refer to the Conference program on the website and/or the back of your lanyard.
As a matter of courtesy to all speakers, we kindly request prompt attendance for each session to ensure it starts on time and without disruption. If entering or exiting the Auditorium, please do so quietly to avoid disruptions.
Messages/Announcements
The MC will generally make all announcements.
If you have any messages or announcements, please contact the Conference Chairs, PDG Mina Howard or PP Pamela Noal. Messages should relate to matters concerning the Conference, not to general Rotary matters or other events.
Mobile Phones
We welcome and encourage you to share your conference experience on social media. We do ask, as a courtesy to our presenters, that you turn off your camera flash during presentations and keep your phone on silent during sessions.
Code of Conduct
The Conference Committee is committed to providing a safe, respectful and inclusive environment for all delegates. Harassment or inappropriate behaviour will not be tolerated.
